A portal is interesting when it deals with the efficient organisation of processes and also with the reduction of costs. The output situation in different areas and companies is very different.
As the basis for a portal, pure workflow software, document management systems, relational or object-based database systems or even email systems are found. The introduction of portals makes realtime-cooperation and communication between employees and partners possible and at the same time uses the knowledge and best practices in the entire company.
Like customer portals which simplify the web, company portals bring order to the information potential of a company through the integration of important user content. But that is not enough. Portals must allow information flow in two directions and provide content management functions, which guarantees that the content - independent of source or author- is confidential, exact and reliable.
Large companies have recognised that their contents shows a lot of capital and now look for tools that can help them with the administration of their company contents, so that this becomes an open and accessible source. These companies have compiled a considerable amount of content in the saving of applications and digital storage, in which navigation is very troublesome. As a result important contents are blocked or go missing. Employees loose valuable time looking for contents or double their work. Even medium-sized companies are becoming more and more aware of how much the information flood has accumulated.
The use of such portals lies precisely in the realisation of this awareness. It is about purposefully controlling the information flood. The process must remain transparent and controllable on company relevant information dependent of access rights.

Through the open conception and the modular structure of the GroupPortal on the basis of Lotus Notes / Domino a wide spectrum of functionalities is possible. The portal-engine provides an open framework for the generation of meta data and user personalisation. The carriers of real functionality are the information modules, which can be added as the building blocks of the interface. The modules represent relevant subsets from large databases for the user. An example is the selection of all active company workflows, in which the respective employee is involved. Moreover modules can contain active elements, which processes or conditions are controlled in the applications linked with the portal.
Function: GroupPortal makes the person specific generation of information via the different data sources and applications possible. A web browser can be used as a client. Access to the portal via a WAP mobile phone or PalmPilot makes mobile use possible and high flexibility in the workflows.
The PAVONE portal was developed at the Groupware Competence Center (GCC) of the university of Paderborn in cooperation with PAVONE AG.
The PAVONE portal makes the person specific generation of information from the different data sources and applications possible. Along with the integration of Lotus Notes
and relational databases all formats can be used with an XML interface. Moreover contents from internet sites and hyperlinks can be administered.
Through the integration of Java Applets very special, interactive applications can also be integrated. As a rule a web browser is used as a client. Access to the portal via a WAP mobile phone or PalmPilot make mobile use and high flexibility in the workflow possible.
A strong administrative component permits the professional operation of the portal even with large user numbers. Along with the areas, which are personalised by the user offers can be centrally created and user groups assigned.
The portal can be operated on a Lotus Domino Server and / oder an IBM WebSphere Application Server. The personalisation information as well as the personalised meta data are kept in a relational database, to guarantee a good performance even with large user groups. Currently an Oracle 8i database is installed, other databases can be implemented problem free. The interface for the integrated data sources was developed in Java and can be extended to any data source.
